Overview
When you first purchase a new subscription for Quicklinks, you immediately have the opportunity to configure certain settings on your new subscription as part of the completion of the purchase process using a wizard. However, once the wizard you will still need to make changes to your subscription over time so the Quicklinks subscription administration page, available here, provides this functionality. A sample screenshot of this page is shown below and more detailed explanations follow.
Subscription Picker & Title
At the top of the page, the title of the currently-selected subscription is shown. If you have more than one subscription, this title appears as a drop-down menu, allowing you to choose which subscription you want to manage. It is also possible to rename the subscription by clicking the edit
pencil icon alongside the name.
Upgrading or Downgrading Your Subscription
On the top right of this page is an indicator showing your current subscription level (Pro
or Enterprise
) as well as a button allowing you to Upgrade or Downgrade your subscription as desired. Clicking this button will open a confirmation pane where you can confirm your desired change.
Most of the changes you can make on this subscription administration page take place instantly. However, changing the license count or upgrading/downgrading your subscription require the Quicklinks backend service to coordinate this operation with the Microsoft Marketplace backend, which can take a few moments to complete. As a result, the changes you make here will not happen immediately. You should, however, receive an email when the changes are completed.
Teammate Assignment
On this page it is possible to allocate and de-allocate license to/from users from the pool you have purchased. You can grant a license to a new teammate by typing their name in the box below the list of current users and then selecting the correct person from the list that appears. A license can be de-allocated simply by clicking on the trash can icon alongside the user's name.
Please note that a teammate may have multiple entries appear in the list as you type because they may have multiple user identities in your organisations Azure Active Directory. In this case, be sure to choose the correct entry for your teammate otherwise they will not be able to use Quicklinks until this is corrected.
Modifying Your License Allocation Type
Below the list of users an option appears to control the way licenses are allocated to new users. There are two ways that new users can aquire a license for Quicklinks from the pool of licenses you have subscribed to. In the Open
model, licenses are allocated in a first-come, first-served manner. For example, in a company of 25 people, if you purchased 25 licenses, each user can obtain a license as needed simply by using Quicklinks for the first time.
In contrast, if you have purchased Quicklinks just for a specific team or group of 50 users in your organization of 500, you will most likely want to ensure that the licenses are pre-assigned specifically to your teammates so that they cannot be accidentally taken by other users. In this case, you would select the Selected Users
option. Users will now need to be specifically allocated licenses by you on this page in order to use Quicklinks.
Increasing or Decreasing Your License Count
Below the list of users a count appears of how many licenses you have on your subscription and how many remain. If you need to increase or decrease this count, you can click the Change license count
button to open a panel allowing you to choose a new license count.
Administrator Assignment
On this page it is possible to allocate and de-allocate other administrators for this specific subscription. An additional adminstrator can perform the same actions as you can on this page, and they serve as a backup in case you are unavailable. You can add an administrator by typing their name in the box below the list of administrators and then selecting the correct person from the list that appears. An administrator can be de-allocated simply by clicking on the trash can icon alongside the person's name.
